The Cleaning Specialists ("we", "us", "our") respects your privacy. This policy explains what personal information we collect through our website and communication channels, why we collect it, and how we protect it. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).

The Cleaning Specialists is a cleaning and hygiene company, part of The Specialists Franchise Group, with two branches in Mpumalanga:

What we collect

Information you give us. When you complete an enquiry form, chat with our assistant Amber on the website, or message us on WhatsApp, we may collect your name and surname, phone number, email address, suburb or town, the service you are interested in, your nearest branch, your preferred callback date and time, and anything you write in your message.

Information collected automatically. Like most websites, we use cookies and similar technologies to understand how visitors use our site. These collect information such as the pages you visit, the device and browser you use, and how you arrived at our site. See the Cookies section below.

Why we collect it

We use your personal information to:

• Respond to your enquiry and arrange your callback, free site assessment and written quote
• Follow up on your enquiry by phone, email or WhatsApp
• Route your enquiry to the correct branch
• Send service updates and, where appropriate, invite you to review our service
• Understand how our website is used so we can improve it
• Measure the performance of our advertising

We only use your information for the purposes above. We do not sell your personal information.

Amber, our AI assistant

Amber is an automated assistant available on our website chat and on our dedicated WhatsApp line (067 395 0102). Conversations with Amber are recorded and stored in our customer system so that our team can pick up where the conversation left off, contact you at your preferred time and keep an accurate record of your enquiry. Amber collects only the details needed to handle your enquiry. She does not give prices; all quotes are confirmed by our team after a free site assessment.

WhatsApp follow-ups

If you provide your number, we may follow up on your enquiry via WhatsApp from 067 395 0102. You can opt out at any time by replying STOP or by asking us to contact you another way. WhatsApp messages are processed by WhatsApp (Meta) under their own privacy terms.

Cookies and analytics

Our website uses:

• Google Analytics to understand how visitors use the site (pages viewed, time on site, how you found us)
• Google Tag Manager to manage these measurement tools
• Google Ads conversion tracking to measure whether our advertising leads to enquiries

These tools use cookies and may process your IP address and device information. The information helps us see, for example, how many people enquired after visiting a page. It does not tell us who you are unless you submit a form. You can control or delete cookies in your browser settings, and you can opt out of Google Analytics at tools.google.com/dlpage/gaoptout.

Who we share information with

We use trusted service providers to operate our website and communication channels, including our customer relationship system (which stores enquiries and conversations), Google (analytics and advertising measurement) and WhatsApp (messaging). These providers process information on our behalf and are required to protect it. We may also share information where the law requires it. We do not share your personal information with anyone else for their own marketing.

How long we keep it

We keep enquiry and customer records for as long as needed to handle your enquiry, provide our services and meet our legal and accounting obligations. Information that is no longer needed is deleted or anonymised.

How we protect it

We take reasonable technical and organisational steps to protect your personal information against loss, misuse and unauthorised access. Access to customer records is limited to team members who need it to do their work.

Your rights

Under POPIA you have the right to:

• Ask what personal information we hold about you
• Ask us to correct or update it
• Ask us to delete it, where we are not required to keep it
• Object to processing, including for direct marketing
• Withdraw consent at any time, where processing is based on consent
• Lodge a complaint with the Information Regulator (South Africa) at inforeg.org.za

Children

Our website and services are aimed at adults arranging cleaning and hygiene services. We do not knowingly collect personal information from children.
